eTIMS Compliance: A Practical Checklist for Small Businesses

What every small business actually needs to do to become eTIMS-compliant — without the jargon.

If you run a small business in Kenya, you've likely heard the term eTIMS more times this year than you'd like. Behind the acronym is a fairly simple requirement: every business issuing tax invoices needs a way to transmit those invoices electronically to KRA, in real time.

The confusion most business owners run into isn't the concept — it's figuring out which of the several eTIMS options actually applies to them. Broadly, there are three paths: the free eTIMS web application for businesses with low invoice volume, a downloadable eTIMS client for businesses that want offline capability, and an integration with existing accounting or point-of-sale software for higher-volume operations.

The first practical step is an honest look at your invoice volume. A business issuing a handful of invoices a day has very different needs from one issuing hundreds. Choosing the wrong option — typically overengineering with a full software integration when the free web app would do — is the single biggest source of wasted time we see in eTIMS onboarding.

Once the right option is chosen, registration itself is straightforward: your KRA PIN needs to be active, and you'll register the business on the eTIMS platform under your chosen invoicing method. The part that actually determines whether compliance sticks is staff training. An eTIMS-compliant system issuing manually-written, non-compliant invoices because staff weren't shown the new process is a compliance gap with a paper trail pointing straight back to you.

Finally, build in a monthly reconciliation habit — checking that invoices issued match what's been transmitted to KRA. Gaps here are usually innocent (a system outage, a staff member reverting to old habits under pressure) but they compound quickly if unnoticed.
